Job Duties and Responsibilities:
- Manage the A/P staff, provide leadership through example.
- Be able to perform all phases of the A/P process, from start to finish.
- Continuously evaluate, analyze and streamline A/P processes.
- Assist, research and investigate invoice discrepancies.
- Ensure that all internal policies and procedures are being adhered to regarding the A/P processes.
- Review invoices for appropriate documentation, GL coding and approval prior to payment.
- Process, batch and input vendor invoices, and check requests.
- Monitor critical payments, such as franchise fees, corporate credit cards, construction, and utilities.
- Assist with weekly check runs.
- Comfortable with multi-property transactions.
- Understanding owned properties versus third party management and differences in cash flows.
- Understanding of software (procurement and ERP) and ability to run and analyze reports.
- Ensure proper new vendor set up and 1099 tracking.
- Assist with the year end 1099 reporting, for multiple states.
- Reconcile customer statements and maintain AP files.
- Assist team in researching outstanding bank rec items.
- Ensure team is cross-trained in all areas.
- Stay on top of AP topics and determine if processes need to be adjusted.
- Perform various other duties as assigned to meet business objectives.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to work in a fast-paced environment with emphasis on timeliness and accuracy.
- Ability to supervise and manage a team.
- Understanding of general accounting principles.
- Thorough knowledge of the accounts payable function.
- Strong attention to detail, organizational and multi-tasking skills.
- Ability to communicate effectively verbally and in writing.
- Ability to follow-up with various teams to ensure tasks are being completed.
- Skill in the use of personal computers, Microsoft Office (especially Outlook, Excel and Word) and software applications.
- Proficient in writing various reports and analyzing data.
- Ensuring that an attitude of customer service is prevalent in our organization through serving our customers (properties).
- Enhancing systems, procedures and manuals to assist our staff in doing their jobs (ie: restaurant/bar manual, employee manuals, employee administration/policy handbooks, benefit manual, accountant handbook, front desk procedure guide, etc)
- Education and enforcement of communication on policies and procedures
- Ability to work well in team-oriented environment.
EDUCATION AND EXPERIENCE:
- Minimum of 5 years accounts payable experience required.
- Minimum of 2 years of supervisory experience required.
- Multi-property accounts payable experience required.
- College degree required, or applicable experience.
