The Accounts Receivable (AR) Representative, National Accounts Specialist is responsible for providing administrative support and clerical services for all internal and external customer accounts.  This position researches, resolves and communicates issues related to institutional customer accounts such as school districts. This includes, but is not limited to, discussing accounts with customers, processing payments, generating invoices and billing statements, researching credits/debit balances, researching payment disputes, overdue accounts, and collections. Both inbound and outbound calling to communicate with customers is an important function of this position. Additional components of this position include providing support to the entire AR department and accounting team by participating in special projects.

This position is located in Coralville, Iowa. Remote work is not available for the role.

Essential Duties and Responsibilities include but are not limited to the following.

  • Maintain National Accounts which includes:
    • Communicate with and service all assigned national accounts including proactively contacting the accounts, completing invoicing, collections, record updates, and other duties necessary to resolve customer issues.
    • Will process, run, and review/evaluate various reports on a daily, weekly, or monthly basis as needed.
    • Monitor any national accounts that are candidates for write-offs and review with the supervisor.
    • Screen, forward to appropriate parties or respond to any inquiries submitted through the Accounts Receivable and Accounting department service inbox
    • Research and resolve any duplicate accounts, pending order, or returned mail issues.
  • Accounting team liaison to the General Music department:
    • Work as liaison between accounting and Music Education departments; attend team meetings
    • Process customer purchase orders, UPS/FedEx claims and payments, and workshop deposits and payments
  • Payments and billing
    • Research and post checks for various West Music departments.
    • Prepare entries for checks received/collected, or payments processed
  • Invoice piano deliveries and will prepare monthly reports for the Piano moving team
  • Will assist the department in entering rental agreements
  • Provide support to all A/R positions as needed

Required Qualifications

  • One year of experience with any of the following:
    • General office clerical work
    • Must have prior customer service experience phone skills
  • High level of interpersonal skills including poise, tact, and diplomacy to resolve potentially sensitive and confidential customer issues.

Desired qualifications

  • Prior Accounts Payable or Accounts Receivable experience
  • Associates/Bachelor’s degree in accounting or business
