Accounting Assistant

Job Information:

The Accounting Assistant will maintain the full scope of the agency’s daily accounting functions, issue payment to vendors, produce invoices for services rendered by Shelter House, compile and process all materials for Medicaid and Medicare reimbursement programs and reconcile all bank accounts.

Reports to:  Director of Strategic Operations and Resource Management
  • Maintain the general ledger on an accrual basis of accounting.
  • Assure timely and accurate completion of all Accounts Receivable/Accounts Payable tasks, and processing of all expenditures and maintain appropriate hard copy and electronic documentation systems.
  • Prepare detailed monthly invoices for numerous funding sources and ensure they are coded and accurately entered into the accounting system.
  • Record prepaid expenses, accrued expenses, deferred revenue, and depreciation.
  • Set and refine controls to assure that the accounting for all financial transactions is done accurately and completely.
  • Ensure that all accounting functions are completed according to the established deadlines.
  • Ensure payroll and any record updates are submitted in a timely manner to contracted provider for bi-weekly issuance.
  • Issue payments to vendors in a timely manner and maintain all vendor accounts.
  • Compile and process all materials for Medicaid and Medicare reimbursement programs and prepare and submit requisite cost reports.
  • Issue all invoices in a timely manner for services rendered by Shelter House (catering, meal contracts, janitorial services, per diem stays, and Medicaid billable services) and reconcile payments assuring that financial controls are in place to capture revenues for all services provided.
  • Process and verify all rent payments are maintained and current for all Shelter House owned/managed properties.
  • Ensure that sales tax for services rendered is charged when relevant and that timely payment is made to the Iowa Department of Revenue.
  • Prepare all deposits and reconcile with both donor/funder records and accounting systems.
  • Reconcile bank accounts on a monthly basis; reconcile bank deposits with internal records and monitor all checks not cancelled within 90 days.
  • All other duties as assigned by Director of Strategic Operations and Resource Management.
Experience and Education Requirements:
  • Experience with financial reporting, payroll processing and accounts payable. 
  • Associate or Bachelor’s degree in accounting or finance.
  • Experience with grants and contracts desirable.
  • Experience billing Medicaid or similar fee-for-service programs desirable.
  • 3 years general ledger accounting experience.
  • Experience with Quick Books, Microsoft Word, Excel, and Outlook
  • Ability to take direction, maintain confidentiality, be detail oriented, and have a team work attitude.
Salary and Compensation:  Commensurate with experience. The Accounting Assistant is a full-time salaried position with health, dental, paid leave and retirement plan benefits.
