Assistant Bid Coordinator
The General Music department in West Music has an opening for an Assistant Bid Coordinator. This full time position will focus on informal quotes, formal bids, the Buyboard Purchasing Cooperative, SmartProcure and other related areas within the General Music department. Additionally, the Assistant Bid Coordinator is a member of the Customer Service staff, and provides quality, professional customer service that consistently meets or exceeds West Music’s standards of excellence and customer expectations. By completing bid and quote requests in an accurate and timely manner, managing our relationship with Buyboard, and providing service to Bid department customers as well as our overall General Music customers, the Assistant Bid Coordinator is fulfilling the West Music mission to ensure our customers Play now. The Assistant Bid Coordinator position is located in our Coralville, Iowa headquarters.Essential Duties and Responsibilities include but are not limited to the following:•Bid and Quote Process management: •Responds to informal quote/bid requests by organizing requests through a priority matrix and tracking system. Prepares large formal bids as requested. •Buyboard responsibilities: •Serves as the key contact from West Music for the Buyboard Purchasing Cooperative relationship.• Manages the West Music SmartProcure account: •Evaluates SmartProcure data to research competitor sales; identify prospective and former customers; and to determine other opportunities.• Responsible for providing personalized account management as assigned.• Is a member of the Customer Service staff: • Communicates with customers by telephone, fax, web ordering platforms, or e mail to provide information about products and services, takes and/or enters orders, modifies customer information, and responds to customer questions and concerns. Education, Experience & Qualifications - Required Qualifications:• Minimum of 6 months – 1 year prior customer service experience (either face to face or telephone customer service).• Extremely strong reading comprehension skills, with the ability to understand and translate into action basic contractual style language and documents.• Ability to complete complex forms with a high level of detail and accuracy.• Must have strong computer/keyboarding skills with the ability to accurately process high volumes of data accurately and for extended periods of time.• Must demonstrate effective listening, verbal, non-verbal, written, and interpersonal communication skills. • Excellent organizational, time management, customer service and problem-solving skills and the ability to work accurately and meet deadlines with frequent interruptions. •Organizational skills sufficient to prioritize work and complete assignments accurately, either independently or as part of a team, under pressure of competing deadlines and with frequent interruptions, working from own initiative and/or following direction, policies, or procedures.• Effectiveness in the following organizational competencies: • Translating mission, vision, and core values into customer facing action •Proactive, collaborative work style • Anticipating and positively responding to change •High School Diploma or equivalent.
