Church Operations Coordinator
Position Summary: Support the daily operations of Peoples Church by coordinating communications, office administration, and facilities.
Key Areas of Responsibility
Communications: Manage church communications to inform members, visitors, and the public about church news, activities, and events.
•Maintain and enhance all means of internal and external communications with an emphasis on developing a consistent image and message across all platforms.
•Post regular updates through all communication channels, including social media, website, email, Sunday Worship Order of Service, and bulletin boards. Compile and send weekly e-blasts.
•Triage inquiries received through email, social media messages, and the website contact forms; route to appropriate staff or volunteers.
Office Administration: Manage the church office to ensure organizational efficiency.
•Keep regular office hours and provide a responsive and welcoming environment for congregation members and visitors.
•Maintain administrative files, update and organize church documents.
•Manage membership database and provide support for staff and volunteers to ensure they can use the database effectively for their tasks and data reporting needs.
•Organize purchase history and receipts, reconcile monthly statements, and maintain financial records. Act as liaison to bookkeeper.
•Provide support for staff and volunteers with projects and other tasks as required.
Facilities: Monitor church property and equipment maintenance to ensure sound upkeep.
•Coordinate contract services such as lawn care and snow removal.
•Coordinate the cleaning schedule with our custodians.
•Schedule repairs to building and equipment; monitor and report outcomes. Gather information to recommend needed products or services.
•Oversee annual inspections (Elevator, Fire Department, etc.)
•Maintain master calendar of church activities and events in order to reserve meeting spaces and manage bookings.
•Coordinate facility rentals to outside groups.
•This position reports to the Minister.
•This position is 20 hours per week.
•This position requires daytime hours Tuesday through Friday.
•Associate's degree or equivalent experience.
•Experience providing administrative support for a program or organization that includes coordinating day-to-day operations.
•An understanding of religious institutions in general or Unitarian Universalism in particular is helpful but not required.
•Build appropriate rapport and work well with people at all levels of the congregation;
•Carry a positive attitude and convey a sense of support with your presence;
•Participate as a member of the team;
•Exercise discretion and respect confidentiality.
•Excellent verbal and written communication skills with the ability to provide information in a timely and transparent way;
•Demonstrated commitment to communicating directly with involved parties to avoid triangulation;
•Desire to help people understand the information and its relevance to the matter or task at hand.
•Demonstrated competency using Microsoft Office Programs;
•Basic understanding of database structure and management;
•Basic knowledge of Social Media applications, Wordpress, Mail Chimp, and Church Office Online, or demonstrated willingness and ability to gain proficiency with unfamiliar software essential to the functioning of the position.
•Use independent judgment to plan projects and understand how to separate and combine tasks into efficient workflow;
•Look for opportunities for synergy and integration to simplify complex processes and create procedure for repetitive processes.
•Prioritize and focus on tasks that contribute to organizational goals;
•Strong organizational skills including the ability to manage multiple projects and adhere to deadlines with attention to detail.
