Job Summary:

Provide administrative services to the Co-Chief Operating Officer. Perform administrative responsibilities requiring discretion, independent judgment, and a high degree of customer service. This position is responsible for managing multiple, often conflicting meetings and obligations, all involving urgent, highly sensitive issues and stakeholders. Accuracy, comprehensive and proactive management and timeliness is critical. The ability to access data and situations and make independent decisions at an appropriate level is required.

Keys Areas of Responsibility:

• Exercise a high level of autonomy while performing administrative support activities for the Co-Chief Operating Officer, including planning, organizing, and monitoring daily activities.

• Serve as departmental liaison to executives from the University of Iowa, University of Iowa Health Care, University of Iowa Carver College of Medicine, regulatory and accreditation governmental agencies, and the public.

• Serve as primary contact for phone and in-person compliance inquiries and complaints. Requires excellent customer service skills including patience, empathy, and clear communication skills.

• Manage Outlook calendar and schedule meetings for Co-Chief Operating Officer.

• Initiate purchase requests for the department, including office supplies, equipment, publications, training materials, association dues, webinars, etc.

• Coordinate event registration, travel arrangements, and expense vouchers.

• Prepare and administer correspondence.

• Oversee departmental expenses and reconcile University of Iowa procurement card expenditures monthly.

• Compose and/or edit correspondence and reports on a multitude of high-level issues requiring discretion and confidentiality.

• Assist in special projects and presentations, including organizing educational training sessions and assisting in regulatory site visits.

• Maintain effective working relationships with faculty, staff, students, and the public.
