Job Title: Office Assistant
Hours: Monday Friday 10 am 2 pm, 5 days per week, 4 hours per day, as needed for events
Benefits: There are currently no medical, dental or vision benefits for part-time staff.
Vacation: There are currently no vacation hours that accrue for part-time staff.
Holidays: Holidays are paid based on your regular working hours for the day. Part-time staff do receive part-time pay for holidays.

General Summary of Duties: The Office Assistant under the supervision of the Vice President is responsible for managing the customer service of the Families Helping Families office. This person will answer phones, greet visitors, unload & sort donations, hand out receipts, help with ongoing events and projects in our office, keep office neat and tidy, provide support to all programs, etc.
Education/training: Associate of Arts preferred or equivalent experience.
•Knowledge of relevant software applications including MS Office, proficient in use of email and internet, accurate keyboard skills, knowledge of administrative procedures.
•Ability to type 40 words per minute.
•Valid driver's license needed
•Must pass background check
•Be available to work additional hours during events
•Must be physically fit and able to lift 50 pounds and be on your feet as needed
•Represent and support Families Helping Families mission at all times
•Process shoe voucher applications and mail
•Check and prepare daily mail
•Answer phones, take & return calls, greet visitors, etc.
•Check office voice mails daily
•Office email, will process general office emails as well as to Board of Directors
•Assist the Board of Directors with various requests
•Run errands, bank, pickups, Stuff Etc donation drop offs, etc.
•Unload and organize/sort in-kind clothing donations, track donations, send thank you letters
•Prepare tax receipt letters for donations
•Track & schedule volunteers, process applications, follow up calls, send thank you, etc.
•Cover clothing closet open hours when volunteers are unavailable
•Open and close office daily, Monday through Friday, 10 am 2 pm
•Various data entry jobs
•Track clothing closet usage forms
•Keep office neat & tidy, dishes, take garbage & recycling out weekly, clean bathrooms
•Keep parking lot clean of trash and donated items
•Provide support to all programs
•Help with ongoing events and projects in office
•Provide emergency needs for clothing, diapers, etc in our clothing closet during working hours
•Call and schedule building maintenance needs
•Copy jobs as needed
•Prepare copies and various things needed for monthly Board meetings
•Other duties as assigned
