We are looking for a positive, upbeat professional to join our team! The Receptionist/Office Assistant encompasses a wide range of administrative support services including reception, coordination of office maintenance, supply procurement, assisting the executives with administrative tasks and general office support for the company.
•During staffed reception hours, answer the door, notify staff of visitors, sign for packages
•Assist executives with administrative tasks
•Coordinate with vendors and building management regarding general office matters including: office repairs, ordering supplies and furniture, work area improvements/reconfigurations, etc. while maintaining positive and professional relationships, ensuring compliance with building and company policies, coordinating schedules, and following up as necessary.
•Arrange for pick-up for recycling and shredding
•Assist with booking airfare and transportation for executives
•Coordinate/order food for lunch meetings and catering
•Order supplies, stock, and organize the reception area, supply rooms and kitchens including the refilling the coffee machine.
•Regularly inspect the office facilities for required repairs and coordinate work with appropriate vendors and/or building management, escalating issues when appropriate.
•Distribute and processes mail, prepare overnight packages, and other shipments.
•Assist with setup and breakdown for company meetings & events including audiovisual equipment and food/beverage services
•Other duties and responsibilities as assigned.
Qualifications and Skills
•A minimum 2+ years in a fast-paced, challenging office environment a plus.
•High school diploma or equivalent.
•Possesses excellent organization and administrative skills.
•Maintains a professional demeanor to successfully work with all levels of employees, customers and the public.
•Excellent communication skills, to include proficiency with clear and grammatically correct written communications.
•Demonstrates knowledge of general business procedures and office equipment; is proficient with Microsoft Office products and learning new software products.
•High degree of initiative, multi-tasking abilities, customer service, problem solving skills, and enthusiasm.
•Team oriented and an ability to meet deadlines and work well under pressure.
•Absolute integrity and ability to handle confidential and sensitive information.
•Demonstrates a commitment to continuous learning and the flexibility to adapt to new or changing situations.
•Willingness to assume additional responsibilities, duties or projects as they arise.
